Participants for certain countries are required to obtain visas to enter Japan. Obtaining requisite visas from the Japanese Embassy or the Consulate office located in your country is required prior to arrival in Japan. We offer you two types of documents as our official letters of invitation. Please make sure to check the documents you need with your affiliation or the embassy of Japan in your country of residence before applying, as documents you might need depending on circumstances.

1 - PIERS Invitation Letter
This invitation letter can be downloaded once you log into PIERS Author Center. It certifies that your abstract has been accepted. The letter will not guarantee to support your travel expenses nor the costs of attending the conference. You can also ask help from PIERS OFFICE (office@piers.org and/or piers@emacademy.org) about this PIERS invitation letter.

2 - Documents for Visa Application
Citizens of some countries require a visa to enter Japan. If necessary, we will prepare and provide the required documents to support your visa application, ensuring they meet the format specified by the Japanese Ministry of Foreign Affairs (MOFA).
The visa documents (“Letter of Invitation/招へい理由書” and “Itinerary/滞在予定表” in the format the Japanese Ministry of Foreign Affairs provides) will be supported by the Secretariat for PIERS 2025 Chiba.
Please kindly be aware that only registered participants who have completed their payment can be supported with this visa documents. The handling fee for documents may be paid at the applicant’s expense. Please note that they will not guarantee to support your travel expenses nor the costs of attending the conference.

Application Period
Application due date: Friday, August 29.

How to apply
The application form URL will only be informed to the registered participants who have completed their payment on PIERS Author Center. If your payment is confirmed with a receipt, a menu of "Visa Support" will be displayed in PIERS Author Center.
- Document Provided: Letter of Guarantee, Invitation Letter, and Itinerary in Japan in the format specified by the Japanese Ministry of Foreign Affairs
- Handling fee: JPY 22,000 / per person

Important Notice
Please note that we cannot guarantee the issuance of a visa.
Your visa application may be denied by your local embassy for various reasons, even if you have submitted all the required documents per the Japanese Ministry of Foreign Affairs guidelines. In such cases, we cannot offer a refund of the support fee.
The organiser reserves the right to decline the provision of necessary documents. If this occurs, your application will be cancelled, and a full refund of the support fee will be issued, regardless of the stage of your application process.
